What this event needs from a production crew. FTO Expo is a two-day national conference and trade show at the Palmer Events Center — educational sessions, an expo floor, speakers, and a room full of food truck operators who are there to learn and connect. The content produced here serves two timelines at once: same-day social for the daily recaps Ivan is publishing while the event is live, and post-event marketing assets that promote next year's show.

That dual timeline is what makes this job different. A standard event crew shoots, goes home, and delivers files a week later. What FTO needs is a crew that can shoot and turn content around the same day — photo galleries ready for social while the second day is still happening, short-form video clips cut and exported before the recap post goes live.

You're also asking for session recording — 3 to 4 featured education sessions captured in full. That's a separate discipline from event coverage. It requires a dedicated camera locked on the speaker, clean audio, and a clean edit. We can staff a third roaming camera operator for the session recording so the primary photo and video crew never stops covering the floor. That's an add-on we'll scope once you confirm the session count and format you need.

On post-production: photo albums are delivered within 7 days of the event. For video — reels, recaps, long-form session edits — we handle all editing in-house, but the scope and turnaround depend on what you actually need delivered and what budget is set aside for it. We'll cover that in the next conversation.

The scope and turnaround depend on what you need delivered and what budget is allocated for post-production. On post-production: we edit everything in-house — reels, long-form recaps, session edits, social cuts. The rate is $500 per finished minute of delivered video, which covers color grading, narrative editing, and sound equalization. Every deliverable is a polished, ready-to-publish asset. To give you accurate options, we need to know what video deliverables you're planning and what budget is set aside for them. That's the next conversation.

A 50% deposit ($3,000) is required to hold August 4–5. Remaining balance due upon delivery. Payment via Square, ACH, Venmo, or check. Palmer Events Center is in our Austin service area — no travel surcharge.

The question underneath the brief. Ivan's email asks for same-day photo galleries and short-form social clips while the event is live. That's the right ask — event content has a 24-hour shelf life on social and then it's yesterday's news. Getting selects out the same day is the difference between content that performs and content that gets posted a week later to no engagement.

The session recording ask is worth a separate conversation. Recording 3–4 education sessions in full is genuinely valuable — those are evergreen assets that can drive registrations, build credibility with speakers, and live on YouTube long after the event. But doing it well requires a dedicated operator and clean audio, not a main camera operator splitting their attention between the session and the floor. A third crew member for session days makes both deliverables better.

On the post-production question — the video you're producing here isn't just for this year's attendees. A well-cut recap does two things: it gives this year's attendees something to share, and it sells next year's tickets to everyone who wasn't there. What do you want people to do after they watch the recap? The answer to that question is what determines the edit.
